Darwin office-based | Flexible start and finish times between 8:30am to 4:30pmLove making an office run smoothly?
Are you the person everyone can rely on?
Be the calm, capable person at the heart of our Darwin office, with part-time hours and flexible start and finish times.
You know that satisfying feeling when the meeting room is ready, a visitor feels welcome, the travel is booked, a new starter has what they need and the right document is exactly where it should be?
AMRRIC is looking for a friendly, organised and dependable Office Coordinator to help make that happen.
One moment you might be welcoming a visitor or responding to an enquiry. The next, you could be coordinating travel, preparing for a meeting, helping a new staff member get set up, updating a register or following up an IT request.
This is a varied, part-time role for an experienced administrator who enjoys helping people, keeping things organised and making sure nothing falls through the cracks.
About AMRRIC
Animal Management in Rural and Remote Indigenous Communities (AMRRIC) is a national not-for-profit organisation based on Larrakia Land in Darwin.
We work in partnership with Aboriginal and Torres Strait Islander communities to improve the health and wellbeing of companion animals, people and communities. Guided by a One Health approach, our work includes veterinary programs, education and training, research and advocacy.
You will join a small, committed team where your work directly supports meaningful outcomes across rural and remote communities.
About the role
The Office Coordinator provides day-to-day front-of-house, office, systems and administrative coordination across AMRRIC.
This is a role with plenty of variety and genuine ownership. You’ll be trusted to keep the office running smoothly, use your judgement and find practical ways to make every day work easier.
The 30.4 hours are worked across Monday to Friday, with daily start and finish times agreed with the successful candidate between 8:30am and 4:30pm.
What you’ll do
Your week will include a practical mix of front-of-house, office coordination, systems support and administration. You’ll have clear priorities and the autonomy to organise the day-to-day work, including:
- providing a professional first point of contact for telephone, email and face-to-face enquiries, and monitoring shared inboxes;
- coordinating office supplies, amenities, cleaning, waste, printing, maintenance and routine supplier arrangements;
- helping maintain a welcoming, organised and well-presented office;
- organising approved travel, accommodation, Board and committee meeting logistics, staff meetings, planning days and internal events;
- providing practical Microsoft 365 support and coordinating requests with our external IT provider;
- maintaining equipment, corporate asset and user-access records;
- supporting onboarding, offboarding, induction, internal training and recruitment administration;
- assisting with routine purchase orders, expense reimbursements and other approved financial administration;
- maintaining registers, templates, shared resources and controlled documents;
- preparing routine correspondence and meeting materials, recording minutes or notes and following up action items as directed; and
- working collaboratively with colleagues to maintain consistent administrative support and reception coverage.
This role could be a great fit if you…
- are looking for meaningful part-time work with shorter working days;
- enjoy helping people and being someone others can rely on;
- take pride in creating a welcoming and well-organised workplace;
- notice the small details and follow tasks through;
- are comfortable balancing visitors, emails, systems, meetings and competing requests;
- can work independently, use your judgement and know when to ask for support; and
- want your administrative skills to contribute to meaningful, purpose-led work.
What you’ll bring
You will bring:
- at least two years’ experience in office administration, front-of-house or business support;
- strong customer service and written and verbal communication skills;
- confidence managing competing priorities, meeting deadlines and following tasks through;
- sound practical experience across Microsoft 365, including Outlook, Teams, SharePoint, Word, Excel and PowerPoint, together with experience using Planner or the confidence to learn it quickly;
- experience maintaining databases, registers, records and well-presented documents;
- experience coordinating meetings, events, travel or other organisational logistics;
- strong attention to detail and respect for confidential information;
- a collaborative, practical and helpful approach; and
- a Certificate III in Business Administration or a related field, or equivalent relevant experience.
Experience supporting IT requests, onboarding, recruitment, training, employee records or routine financial administration will be well regarded.
Essential requirements
You must:
- be an Australian citizen or permanent resident;
- hold a current Australian driver’s licence; and
- be available to work 30.4 hours across Monday to Friday from AMRRIC’s Darwin office.
Visa sponsorship is not available for this role.
Why join AMRRIC?
Meaningful work should be supported by meaningful benefits.
At AMRRIC, you will receive:
- part-time hours with flexible start and finish times across Monday to Friday;
